Content Platform Assessment & Implementation
The right platform, chosen for your operation and implemented to last.
Platform decisions can go wrong long before the contract is signed. You may inherit a legacy system that no longer fits the way your teams work. You may be watching a new implementation stall before adoption. Or you may realize the platform you bought three years ago is not supporting the records, workflows, permissions, and reporting your operation depends on now.
DataBank helps organizations assess content platforms with the full operation in mind. We look at how work enters the business, how records move, where governance and access rules apply, and what the platform needs to support over time. Then we help recommend, implement, and support the right path forward.
Why Most Platform Decisions Go Sideways
We see the same patterns often. If any of these sound familiar, the platform may not be the only issue.
Legacy systems that have outgrown their original purpose
A platform that solved your 2008 problem cannot keep up with your 2026 reality. Customizations, point integrations, and one-off workarounds have piled up to the point where even small changes feel risky.
The Platform Was Chosen Before the Operation Was Understood
The product demo looked perfect. The implementation revealed how your work actually runs. Now the platform is in production and adoption is stuck because the system fights the workflow instead of supporting it.
Investments that aren't returning the ROI you sold internally
The business case promised efficiency gains, audit improvements, and adoption metrics that never materialized. Leadership is asking why — and the honest answer is buried in implementation choices made years ago.
Modernization stuck waiting on objective expertise
Your team needs a clear view of the current environment before choosing what comes next. That means understanding systems, workflows, stakeholders, compliance needs, and where the current platform is falling short.
We Diagnose Before We Recommend
Discovery is the work, not a slide.
Most vendors lead with a product. We lead with a question: what is actually breaking? Before we recommend a platform, we run a structured discovery that maps how your operation works today, where it stalls, and what it needs to support over the next five to ten years.
A DataBank content platform assessment covers:
Information Sources
Where work enters your organization, in what formats, at what volume, and through which channels.
Current Platforms
What is in place today, what each system does well, and where it is failing under real load.
Workflows & Exceptions
How work moves between teams, where manual checks live, and which exceptions are eating your team’s time.
Stakeholders & Governance
Who owns what, which audit and compliance frameworks apply, and where adoption tends to break down.
The Solution Architect Difference
A dedicated role, not a sales engineer in a suit.
A DataBank Solution Architect is the person responsible for whether your platform decision holds up. They run the discovery. They write the recommendation. They lead the implementation. And they stay accountable for how the platform performs in operation, not just whether it goes live on time.
What makes a DataBank Solution Architect different:
They are independent from any single platform vendor.
Our job is to recommend the platform, configuration, and implementation path that best fits your operation, even when that means adjusting the initial direction
They live in the technical reality of your environment.
ntegrations, data flows, identity, governance, security, and user adoption all determine whether a platform stays stable under real operational load.
They stay accountable past go-live.
The same Solution Architect who designed the system is on the hook for whether it performs through audit, scale, and team turnover.
Platform-Agnostic By Design
We pick the right tool. We don’t sell you our quota.
Our recommendations have to match your environment, not our pipeline. That is why our technology network is intentionally broad. We work across leading content, automation, and cloud platforms, choosing the right combination for your operation, including the tools you already own.

Where ROI Actually Comes From
A content platform is a multi-year commitment. Treat the decision that way.
Most platform ROI failures are not caused by the platform. They are caused by decisions made before and during implementation that do not survive contact with real operations. Our assessment is structured to protect ROI in four ways:
Right-Sizing
Buying too much platform is as expensive as buying too little. We model the platform footprint against your actual volume, user count, and roadmap, not the vendor’s enterprise tier.
Implementation That Anticipates Growth
The platform you choose should still fit when your transaction volume doubles, when AI gets layered on, and when a new business unit needs to onboard.
Governance & Adoption Planned Up Front
The platforms that fail at year two are the ones that launched without a clear owner, a defined retention model, or a real adoption plan. We design those in from day one.
Delivery Model Matched to Your Capacity
Whether you need a project-based implementation, ongoing managed services, a hybrid model, or just optimization support, the engagement is shaped around your internal team, not ours.
Built to Scale With You
Your platform shouldn’t cap your growth.
A right-fit platform is not just about today. It is about not having to redo this decision in three years. We fix the foundation first — and then we assess and implement for what is next:
- Adding new use cases without re-implementing the platform.
- Extending the platform across departments, business units, or geographies.
- Layering in intelligent document processing, workflow automation, and AI once the foundation is stable.
That is why our client relationships are measured in years. The goal is not to replace systems over and over. The goal is to help the platform grow with the operation.
Proof Across Regulated Industries.
For more than three decades, we have assessed, implemented, and operated content platforms for organizations where the cost of getting it wrong is measured in audit findings, missed revenue, and stalled growth.
Healthcare Payor
Rescued a stalled OnBase implementation and consolidated three legacy systems into a single governed platform.
Public Sector Agency
Migrated decades of records off a legacy ECM into a modern, audit-ready environment used across 14 departments.
Energy Operator
Stood up a land and royalty document platform that protected revenue through an active acquisition cycle.
Ready to Make a Platform Decision You Can Defend in Five Years?
Most platform investments are made under time pressure, with incomplete information, by teams who cannot afford to be wrong. Our job is to give you the analysis, the recommendation, and the implementation expertise to make a decision your future self will thank you for.

Frequently Asked Questions
How long does a typical assessment take?
Most assessments run between four and eight weeks, depending on the size of your environment, the number of platforms in scope, and how many stakeholders need to be interviewed. We scope the timeline before we begin so there are no surprises.
Do you only recommend Hyland OnBase or Box?
No. Those are two of the platforms we work with most often, but we are not contractually tied to recommending either. If a different platform fits your environment better, we will tell you — and we will help you implement it.
What if we already have a platform we're committed to?
That is a common starting point. In that case, the assessment focuses on whether the platform is configured for how your operation actually runs, where it is underperforming, and what needs to change in implementation, governance, or adoption to deliver the ROI you originally expected.
