Do you remember the excitement you felt when you received your first campus e-mail? That welling sensation of “cool” at the thought that you were finally on the footsteps of that “next generation” age when communication could occur instantaneously like a form of time travel? If you’re at least as old as I am, then you do! And could you have imagined then a time in which filing cabinets, messenger birds, and paper admissions would be obsolete?
Me neither. And yet here we are at the foothills of the century and Higher Education offices don’t have to touch paper at all.
Going paperless has shifted beyond the appeal of the e-book as an alternate to traditional paperbacks, into the realm of workflow automation for evaluation of transcripts, credit transfers, and pretty much all other enrollment processes. Things like non-standard transcripts take considerable time to process if the Institution Department doesn’t have a decent OCR (data capture) process in place, and in State Universities where transfer students form the bulk of the student population, staff cannot afford to miss out on deadlines due to time-consuming manual processes.
The solution “du jour” is WORKFLOW. According to an article in the New York Times, 1 out of 3 students enrolling at a two or four year college will transfer at some point. In fact, many universities rely on transfer students to keep classes filled. In addition, transfers occur erratically throughout the semester, requiring faster processing than most traditional freshman admissions. With workflow, document processing time is reduced, improving office staff productivity and student record retrieval rate. It provides an abundant system of point-and-click configurable rules and actions, granting Admissions offices the automation capability they so constantly need for course and credit transfers.
The transfer of paper files and manual processes to electronic document management systems is a pivotal leap for Universities. An OCR with high volume capabilities feeding a workflow system that can integrate with an existing student information system (SIS) can allow cross referencing of transfer credits, so these can be awarded in literally hours or MINUTES, instead of days or weeks.
A PROPERLY SUITED ENTERPRISE CONTENT MANAGEMENT SOLUTION FOR ADMISSIONS DEPARTMENTS CAN:
- Ensure enrollment of the best candidates before other Institutions and increase student retention by exceeding enrollment deadlines and increasing student satisfaction
- Access multiple student records at once and speed up departmental approvals and edits, shaving time off student inquiries
- Automate data capture and streamline processes through workflow and simple data audits, ensuring that credit transfers are made accurately
