A few weeks ago, we hosted one of our annual events, Florida Government Day. Our friends at Hillsborough County Clerk of Court and Comptroller teamed up with us for the second year in a row to create this incredible, educational event for all Florida government agencies. Florida Government Day is our largest user group meeting to date, bringing in around 200 people. The day was filled with back to back sessions from actual OnBase users. Presenters from the Hillsborough and Manatee County Clerk of Courts showcased how they are improving public services and saving tax payers money by streamlining their processes through OnBase.
The sessions covered multiple topics from managing company-wide notifications within Hillsborough County Clerk of the Court to authorizing payments and account changes for hundreds of utility customers in Manatee County. Take a deeper dive into a few of the sessions from the day below.
The Opening Speech by Pat Frank, Hillsborough County Clerk of Court & Comptroller
Pat Frank kicked off the event by walking us through every step of life in the eyes of the Clerk’s office. Most people don’t realize how much goes in and out of this sector. At some point almost every single person will interact with them and the OnBase system they use. Pat took us through a story starting from a couple applying for their marriage certificate at the clerk’s office, to adopting their baby and processing the application through the clerk’s office and even their divorce which, can you guess it, went through the clerk’s office. At the end of the speech, Pat shared, “OnBase is really just a tool, we have master carpenters working in OnBase everyday”.

When Vicki Beecher revealed that by using OnBase to organize and run their auctions they were seeing a dramatic increase in final sale prices, people couldn’t believe it. Because OnBase allows each application, report, audit and file to be stored in one system, the public can easily access the necessary information to evaluate the auctioned items, place bids and buy – decreasing processing time, while increasing sale prices. The session also talked to using OnBase workflows to keep track of payment status, automatically changing the status after so many days and notifying them when it is time to follow up.
Momentum for Change by Paul Clapp from Hyland Software
After all of the sessions had wrapped up, everyone gathered in the main room for Paul Clapp’s closing speech. Instead of identifying the many solutions in OnBase, Paul focused on recruiting and communicating with the next generation of workers. Sound a bit off topic? Not at all. As Millennials and Generation Z begin moving into the workforce, they are the ones who will be taking these systems over. What was interesting about this speech was his note on Generation Z saying that they expect to be a part of the decision making process. While it may be different to bring an entry level employee into large decisions, in the long run they will feel more appreciative, work harder and put more time and effort into making these solutions as successful as possible.
