Parrish District Attorney Improves Cash Flow and Service to the Public
Starts by Automating the Processing of Traffic Violations
As a newly elected official, this District Attorney looked for areas in which he could improve services to his constituency while easing the workload of his small, but competent staff. Thus, he challenged his staff to identify labor-intensive areas where technology could be applied to improve responsiveness and quality of service to the public. Knowing how DataBank had helped other departments, the DA’s business office administrator turned to them. Since Electronic Content Management Software had already been purchased by other departments, the administrator felt that leveraging that investment would certainly reduce the cost of expanding it into the DA’s office.
One area that was immediately identified was the processing of traffic tickets which had increased by 50% with the State’s implementation of a new automobile violations program. Even before the increase in volume, the department was already struggling with the process which was paper-based and prone to error.
DataBank’s Account Executive and Regional Imaging Specialist who were intimately involved in implementations in other departments were called. Quickly they began the process of Discovery – understanding the current situation, the flow of processing tickets, specific bottlenecks, areas where automation would streamline operations and where Electronic Forms (E-forms) would reduce paper volumes.
Working with the DA’s staff, requirements and the desired state were refined and solidified, and implementation began. Using a functionality-robust set of workflow tools and their expertise in automating business processes, the DataBank team implemented a solution that totally automated traffic violations processing. It also provides a system for tracking violators who have enrolled in Defensive Driving courses and final resolution of traffic tickets with virtually no manual intervention. Additionally, the solution uses E-forms and is integrated with their PayPal account for collection of funds, thus cash flow has been improved as well as service to the public.
Next? The DA’s office is now looking at other areas where DataBank can use its proven abilities to help reduce costs and improve efficiencies.
