University Graduate School of Education transforms static paper Research documents into dynamic electronic information assets
With years of research documents stored offsite and difficult to retrieve and reference, this New England university sought a cost-effective (low-cost) approach to preserve and convert data into easily retrievable information. Since the documents were seldom referenced, they were stored in an off-campus warehouse without temperature or humidity controls or adequate security.
Why call on DataBank?
With a portfolio of solutions and a wide array of approaches to meeting unique customer requirements, the University knew that DataBank’s approach to meeting their needs belied the one-size-fits all or one-solution-fits-all approach.
Over a number of years, DataBank has been a trusted advisor and provider of services to the school, performing numerous document conversions as well as providing software and hardware. DataBank’s quality standards and experience in handling fragile, irreplaceable records were major reasons why the University felt confident in DataBank’s ability to perform.
Although the records were primarily for archiving, the University was looking for a solution to preserve the integrity of the files while at the same time allowing for ease of retrieval in the event access was necessary.
DataBank knew that proposing a robust and costly document management solution was not what the University needed. Instead, they proposed and provided outsourced document conversion services including document preparation, scanning, indexing and providing DVDs with an executable version of Digitech Systems’ PaperVision software. All document conversion services were carried out at DataBank’s New England regional center, one of seven SAS70 Type II production centers located throughout the US.
