Southcoast Health System, a community-based, not-for-profit charitable organization offers an integrated array of health services throughout Southeastern Massachusetts and East Bay, Rhode Island. But Southcoast didn't stop there; they looked for ways to improve and streamline their administrative functions and systems to increase efficiency while continuing to improve service to their clients. A Little Background
In their Patient Accounts department, Southcoast deployed their first document management systemin the late 1990's when a microfilm system was installedat their St. Luke's and Tobey Hospitals. At their Charlton Memorial facility they implemented a standalone system which provided the ability to scan and index documents.
As Janet Scanlon , Team Leader of the Records Management section of Patient Accounts explained ,"Although these systems provided more functionality when compared to paper-based filing , they werevery rudimentary systems. A good portion of an employee's time was spent each day retrieving information from the systems. It was labor intensive anda costly process." In searching for a more efficient approach to managing documents, Southcoast implemented a premise-based document management solution that provided greater functionality and flexibility.
Lifting the Burden from Valuable IT Resources
In keeping abreast of advances in technology and evaluating how they could further improve their operations,the IT team knew that significant advantages could be achieved with a Software-as-a-Service (SaaS) solution.They realized that continuous improvement oftheir internal systems would help them keep pace withthe needs of the clients they served.

Southcoast has conservatively experienced a 15% gain in productivity, while providing the department with the ability to handle a larger workload at the same staff level.
