Register of Deeds

The Register of Deeds is the official record keeper for real estate records (deeds, land contracts, mortgages, etc.) and other instruments concerning the title to land that lies within the registry district. They are also responsible to provide safe archival storage and convenient access to these public records. Although some of these records date back centuries and are currently in very fragile state, the public still has access to them.

Historical books that have been stored in poor environments pose additional challenges and require special handling to ensure their authenticity. Many of the older books are hand written, or have hand-written comments noted in the margins or are Photostat copies (negative or inverted image) that are difficult to convert.

DataBank works with Registries to convert recorded deeds and mortgages, import them into an electronic repository and make them accessible via kiosk PCs in the Register’s office or on the public website. Now, your external customers do not have to travel to the single county site to gather information from large, cumbersome, historical books… you can provide remote access. Additionally, while you better serve the public, you also reduce or eliminate the additional burden on your staff to search, print, copy and perform other administrative tasks.

Clerk of Courts

The Clerk of Courts provides public access to appropriate court records and other legal documents. They are typically the official record keeper for the county or parish and process thousands of documents daily, serving constituents, the court systems, judges, attorneys and police officers.

Not only is this information frequently requested, but file retention, disaster recovery, and business continuity add another level of complexity to the massive paper challenges already in place.
