As we trek back to our offices from our offices from the last summer days filled with sunshine, water, friends and family, we are reminded of how there never seems to be enough time to squeeze in everything that we want or need to accomplish.
The same can be said for our work days as well, especially in Accounts Receivable (AR) departments that still rely on labor-intensive paper processes that kill employee time. An Enterprise Content Management (ECM) solution, though, could enable AR departments to save time by eliminating these labor-intensive duties.
Employees working in AR departments that still used a paper-based process typically end up spending time performing menial tasks such as physically retrieving documents. Because documents are often stored in rooms separate from the desks and office spaces, employees must waste time going up or down a floor to get into the correct room. Once in the room, they must sift through thick folders in filing cabinets to find the appropriate document. Unfortunately, documents are often misfiled and employees must waste more time digging through other folders and filing cabinets to find the document.
With an ECM solution, employees would not have to waste this time simply trying to locate the document. Instead, an employee could access documents instantly using their desktop browser and quickly e-mail it to the customer.
Employee productivity is also boosted by an automated workflow. Some companies still rely on employees to manually deliver documents to the next employee in the workflow. With such a system, documents get delivered to the wrong employee or even forgotten about and delivered too late. Again, this is a waste of everyone’s time.
The automated workflow component of an ECM solution eliminates these two problems. Once the correct workflow is entered into your system, scanned documents are automatically routed to the next person in the workflow. If changes are made to your company’s workflow, the system workflow can be easily altered to accommodate the changes.
